Security Journey Email Notifications

Learn how to manage Security Journey email notifications—find email templates, enable/disable messages, customize copy, send test emails, and adjust Status Email frequency.

Email Notifications

Security Journey includes a set of pre-built automated email templates you can customize to support your learners and training program.

Accessing Email Templates

To find the Emails feature, go to:

Admin > Communication > Emails

Default Settings

  • All emails are enabled by default and are sent weekly.

  • You can activate or deactivate individual emails as needed.

Note: Admin and Learner Invitation emails and Password Reset emails are required and cannot be deactivated.

Email Sender Address

All automated platform emails are sent from:

no-reply@securityjourney.com

To prevent messages from being filtered or blocked, add this address to your organization’s allow list / safe sender list.


Email Types and Descriptions

Account and Access

  • Invitation Instructions: Sent when a user is invited to the platform. Includes a link for the learner to set their name and password.

  • Confirmation: Sent after a learner signs up to confirm their account and set their password.

  • Reconfirmation: Sent when a learner changes their email address, prompting confirmation at the new address.

  • Reset Password: Sent when a learner selects “Forgot password?” on the login page. Includes a link to reset their password.

Champion Passport (Admin Only)

  • New Judgment Request (ADMIN ONLY): Sent to all admins when a learner submits a judgment request.

  • New Mentor Request (ADMIN ONLY): Sent to all admins when a learner submits a mentor request.

Tournaments

  • Started Tournament: Sent when an admin creates a tournament. Learners receive an invitation link to join.

  • Finished Tournament: Sent after a tournament ends to all learners who participated.

Notifications and Engagement

  • Unread Notification: Sent when a learner has not viewed their notifications within one hour of receiving a bell notification. Includes their Assignment URL. (See the Assignment Notification article for more details.)

  • Status Email: Sent to learners to remind them of their current achievements and invite them back to continue training.

Path Completion

  • Path Congratulation Email: Sent anytime a learner completes a path to congratulate them and encourage continued learning.


Adjusting Email Frequency

For emails that support frequency controls, you can choose:

  • Weekly

  • Monthly

  • Quarterly

Note: At this time, you can adjust the delivery frequency only for Status emails (weekly, monthly, or quarterly). The frequency for all other emails cannot be changed.


Customizing Email Templates

All email templates are customizable, with a few important limitations:

  • You can edit email copy and button text.

  • You’re limited to editing the clickable text available in the UI.

Tips for making changes

  • Use Send Test Email (at the top of the page) to preview formatting before publishing.

  • Select Save Template to keep any changes you make.

Restoring defaults

If you need to revert a template back to the platform’s original version, select Restore to return it to the default settings.
